Collecting Data with Excel Templates – How to Stop Broken Submissions
Updated October 12, 2026
Group reporting packs, budget templates and client data requests all work the same way: you send a template out, many people fill it in, and you consolidate what comes back. The consolidation only works if the returned files still look like the template. In practice a few always don’t.
What goes wrong
- A label is renamed (“Revenue” → “Net revenue”), so a lookup misses it.
- A row is inserted for a new cost line, shifting everything below.
- A total is overwritten with a typed number because “the formula was wrong”.
- A required field is left blank.
- A sheet is renamed or deleted.
Each one is easy to fix once found. The problem is finding them across dozens of files before consolidation runs.
Design the template to resist damage
- Separate inputs from logic. Put inputs in clearly shaded cells; keep totals and checks in cells nobody needs to touch.
- Protect the sheet, unlock only inputs. Review → Protect Sheet with only the input cells unlocked. It will not stop everything (protection is easy to remove) but it prevents accidents.
- Use data validation for drop-downs, dates and numeric ranges.
- Add an in-file check cell that shows “OK” when the template’s own totals tie.
- Version the template. Put the template version in a fixed cell so you can tell which copy someone used.
Validate every returned file
Even a well-protected template gets broken. Before consolidation, compare each returned copy with the original:
- Are the sheet names and order unchanged?
- Do all labels and formulas match the template?
- Were edits made only inside the input cells?
- Are all required inputs filled?
The DraftReview template validator does this for a whole batch at once. Add the original template, drop in the returned files, and optionally list the allowed input ranges (for example Report!C4:C40) and required cells. Each file gets a pass/fail status and a list of exact cells to fix — which you can send straight back to the submitter.
Because it runs in your browser, returned files that contain entity, payroll or customer data are never uploaded.
A simple submission workflow
- Send the template with a short instruction: which cells to fill, and not to insert rows.
- Validate files as they arrive; reply with the finding list the same day.
- Only consolidate files that pass.
- Keep the validation export with the consolidation as evidence of the checks performed.
